If you do not want to work with the upload templates that are designed for multiple team quick rostering you can easily add Admins (Coaches) to the Admin pool under your organization's registration.


This very detailed step by step screenshot guide will explain the process and show you what to do at every step.


ADD ADMIN (COACH) TO THE SYSTEM


Step 1 : Login to the system with your primary organization contact account.  You'll see the Organization control screen.


Step 2 : Make sure your looking at the right season.  PONY's new system keeps your previous year's information so you can look at the history of the account.  Adjust the season with the pulldown if necessary.

IF LOGGING IN FOR THE FIRST TIME AFTER RENEWING YOUR MEMBERSHIP YOU WILL NEED TO CHANGE THIS FROM "2017 PONY SEASON" TO "2018 PONY SEASON".


Step 3 : Click the "Players / Admins" button.  It is clearly marked in the left hand navigation column.



Step 4 : With the additional options that are presented click "Add Player/Admin".



Step 5 : Enter your Admin's (Coach) First Name, Last Name, and Date of Birth for the system to search if the Admin has been entered previously or if the Admin is new to the system.


Step 6 : The system will search for a match to the information you have entered.


If the Admin (Coach) was not found as a previous Admin (Coach) you will be asked to enter their information for addition to the system and placing them on a roster.  Proceed to New Admin Steps  for instructions on adding the new Admin (Coach) to the system.


If the Admin (Coach) was previously entered into the PONY system you will be alerted.  Proceed to Returning Admin Steps for instructions on how to enter the Admin (Coach) and add them to the proper team.


NEW COACH STEPS

New Admin Step 1 : The Admin (Coach) was not found in the system so the following steps will allow you to add them.  Click "Create New Coach/Admin"


New Admin Step 2 :Enter information for the Admin (Coach).  All fields marked with a red asterisk * must be filled out to continue.  Fields with a double red asterisk ** must have one of the fields filled out (example phone numbers, only one is needed not all three).


New Admin Step 3 :When the information is complete, click "Save & Continue".


New Admin Step 4 : Next step is to add the Admin to the system's Admin (Coach) pool.  First select the age group of the team you are adding the Admin (Coach) to.


New Athlete Step 5 : Once selected click "Create Application"


New Admin Step 6 : Additional information about the Admin (Coach) can be added on the next screen including uploading a headshot, uploading a scan of their state mandated concussion certificate, drivers license, emergency contact information and ID Information. Although additional information does not need to be added into the system this information may be used in the future with additional integration with Blue Sombrero League Websites and Game Changer Scoring Application.  When you have finished adding additional athlete detail information click "Save" to continue to the final step.


New Admin Step 7 : You have added a Admin (Coach) into your organization Admin (Coach) pool.  You are complete.  If adding additional Admins (Coaches) or Players you can click the Add New Player/Admin button to repeat the process or select another activity in the left hand navigation column.  NOTE : You do not need to "Create Order".  This step is not required and not recommended by PONY at this time.


New Admin Step 8 : Because coaches can be added to multiple teams the final steps are to place them onto the team(s) they will be coaching.  You can do this under the "Team" tab on the left hand navigation column.


New Admin Step 9 : If you select the "Team" button, but you see no teams listed at the bottom in the team list, you may need to click the "Search" button to prompt the system to search for all teams that you are responsible for.


New Admin Step 10 : Click the name of the team you want to add the coach too.


New Admin Step 10 : Your now into the settings of your team where you can assign players, admins (coaches), activate the roster, print the roster and add uniform numbers and register the team for tournaments.  We are adding admins (coaches) so click "Roster Admin".


New Admin Step 11 : Type in the coaches Last Name, First Name to search the Admin pool.


New Admin Step 12 : Click the Admin's (Coach's) name, then click the position you want to place them in.  You can add Admins up to the official PONY coach number limits definted by the official rulebooks of PONY.


New Admin Step 13 : Once you have the Admin (Coach) on the "Assigned To This Team" section click "Save Administrators" to save them to the roster.  You can repeat this step for each team a coach is on.


RETURNING ATHLETE STEPS


Returning Admin Step 1 : The Admin (Coach) was found in the system so the following steps will allow you to add them.  Click the selection button next to the account information.


Returning Admin Step 2 : Click "Create New Coach/Admin Application" to create a new season for the athletes account.


Returning Admin Step 3 : Now to add the athlete to a team.  First select the age group of the team you are adding the player too.


Returning Admin Step 4 : Once you've selected the primary age group they will be coaching click "Create Application".


Returning Admin Step 5 : Additional information about the Admin (Coach) can be added on the next screen including uploading a headshot, uploading a scan of their state mandated concussion certificate, drivers license, emergency contact information and ID Information.
